Practice - Selling New Memberships

What: Practice the skills outlined in this course by completing the following scenarios in Club Automation's customer tutorial site. After completing these practice scenarios, you will have walked through how to:

  • Sell an Individual Monthly Membership
  • Sell a Family Monthly Membership
  • Sell an Individual Annual Membership

How: Navigate to the customer tutorial site by clicking here or by entering customertutorial.clubautomation.com in a browser window. Enter the following username and password to login.

  • Username: demouser
  • Password: Demouser1

Follow the steps outlined below to complete the practice scenarios. You can also download a PDF version of the practice scenario instructions by selecting the Files dropdown in the upper-right corner of the screen.


Practice Scenarios

Scenario #1: Sell an Individual Monthly Membership

Step 1: Create a new client

    • Begin by searching for a NEW user (using a name of your choice).  Always use CA best practices by typing the first letter of the first name, and then starting to type the last name to ensure you don’t create a duplicate profile.
    • Once you’re confident that you won’t be creating a duplicate profile, click Create a New Client.
      • In the Create Client popup, enter the user’s first and last name. Fields marked with an asterisk are required.
      • Select Create Client.
    • Click on the Open Full Profile pop-up box that appears in the upper-right corner to go to the new user's profile.

Step 2: Update the user's Personal Information

    • From the Profile Tab on the user's profile, click Edit on the right side of the Personal Information section.
    • Update the following fields, as these will pull through to the electronic paperwork when selling a membership.
      • phone, address, email, date of birth, gender
    • Select Save.

Step 3: Sell the membership

    • Select the User Groups & Packages Tab on the user's profile.
    • On the right side of the User Groups section, select the Add User Group button.
    • Select Individual Monthly Membership from the drop-down menu in the pop-up that appears.
    • Select Submit.
    • Review each section of the contract details in the new popup and make the following adjustments:
      • Renewal Pricing: Waive the user’s enrollment fee to $0 by typing 0 in the box under Enrollment Fee.
      • Contract Terms: Leave as is.
      • Contract Start Date: Leave as today's date.
      • Contract Billing: The contract already requires the first month's dues up front. Require the user to pay for the second month's dues at time of sale by clicking into the box next to Due Now under the second month. There should now be two green check marks next to Due Now.
      • Renewal Options: Leave as Month-to-Month.
      • Billing Options: Leave as is.
      • Prorate Options: Bill-in-Full.
      • Sales Associate: Search for Test Staff in the search box and click on the name when it appears.
    • Select the Add Membership button.
    • Review the contract that generates and sign when prompted.
    • The user's status will switch to Active, the contract will be added to the user's profile under the Notes & Docs tab, and the details of the new membership will be listed under the user's User Groups & Packages tab.

Step 4: Take payment for the new membership

    • Select the Go to POS button from the upper-left of the user's profile.
    • Once in the user's POS, select both membership charges from the left side of the user's POS to move it to the cart on the right.
    • Select the Take Payment button.
      • Select the Cash payment type.
      • Enter $200 in the Charge Amount box and note the amount the system tells you to give back in change.
    • Select Pay.
    • A receipt generates to print and the system returns to the home screen. Congratulations! You've successfully sold you're first membership.

Scenario #2: Sell a Family Monthly Membership

Step 1: Create a new client

    • Begin by searching for a NEW user (using a name of your choice) and select Create Client.
    • Click on the Open Full Profile pop-up box that appears in the upper-right corner to go to the new user's profile.

Step 2: Update the user's Personal Information

    • From the Profile Tab on the user's profile, click Edit on the right side of the Personal Information section.
    • Update the following fields, as these will pull through to the electronic paperwork when selling a membership.
      • access card, phone, address, email, date of birth, gender
    • Select Save.

Step 3: Sell the membership

    • Select the User Groups & Packages Tab on the user's profile.
    • On the right side of the User Groups section, select the Add User Group button.
    • Select Family Monthly Membership from the drop-down menu in the pop-up that appears.
    • Select the Submit button.
    • Review each section of the contract details in the new pop-up, making the following adjustments:
      • Account Secondary: Enter the name of a new user (using a name of your choice) in the box next to Account Secondary. Select the Create Client button.
          • Fill out the new user's information in the Create Client pop-up, noting that some demographic information pulls through from the primary user's profile, such as phone number and address.
          • Select the Create Client button at the bottom of the box. The new user's profile is now created and will populate in the Account Secondary box.
      • Dependents: Enter the name of a new user (using the name of your choice ) in the box next to Dependents. Select the Create Client button.
          • Fill out the new user's information in the Create Client pop-up, noting that some demographic information pulls through from the primary user's profile, such as phone number and address.
          • Select the Create Client button at the bottom of the box. The new user's profile is now created and will populate in the Dependents box.
      • Renewal Pricing: Leave as is.
      • Contract Terms: Leave as is.
      • Contract Start Date: Note that the contract start date defaults to the first of the next month. Leave as is.
      • Contract Billing: Deselect the green check box under the starting month in the Due Now row. The family will only owe the enrollment fee at time of sale and will be billed their first month's dues on the first of the following month when their membership activates.
      • Renewal Options: Select Automatically Renew so that the membership will renew for another 12-month term.
      • Billing Options: Leave as is.
      • Sales Associate: Enter Test Staff.
      • Referred By: Leave as is.
    • Select the Add Membership button.
      • Change Membership Pop-Up: Select the checkbox to copy the primary's personal information to the account secondary's and dependent's profiles. Opt to remove the Guest user group from each of their profiles as well.
    • Review the contract that generates and sign when prompted.
    • The user's status will not switch to Active because the contract start date is in the future. Select the History tab of the User Groups section to see this membership with a future start date.
    • The contract will be added to the user's profile under the Notes & Docs tab.

Step 4: Take payment for the new membership

    • Select the Go to POS button from the upper-left of the user's profile.
    • Once in the user's POS, select the enrollment fee from the left side of the user's POS to move it to the cart on the right.
    • Select the Take Payment button.
      • Select the Check payment type.
      • Enter check number 103.
    • Select Pay.
    • A receipt generates to print and the system returns to the home screen. Congratulations! You've successfully sold a family membership.

Scenario #3: Sell an Individual Annual Membership

Step 1: Create a new client (using a name of your choosing)

Step 2: Update their Personal Information

Step 3: Sell the Membership

    • Select the Individual Annual Membership.
    • Make the following adjustments:
      • Renewal Pricing: Leave as is.
      • Contract Terms: Change to Parkside Athletic - Annual Membership Terms
      • Contract Start Date: Leave as is.
      • Contract Fee Schedule: Change base fee to $800.
      • Renewal Options: Leave as is.
      • Billing Options: Under Change Bill-to-Account, search for the first profile you created today. Click on it so that the name is entered in the box. Make this user responsible for 50% of the membership fee by entering 50 under the Amount box. Confirm that the % symbol is selected in the drop-down menu next to it.
      • Select Add Membership.
      • Review contract and sign when prompted.
      • The user's status will switch to Active, the membership details will be listed under the User Groups & Packages tab, and the contract will be added to the user's Notes & Docs tab.

Step 4: Take Payment

    • Go to the user's POS.
    • Pay for the membership and enrollment fees with cash.
