Tennis Instructor Evaluation Policy
Purpose
The purpose of this policy is to maintain high-quality coaching standards, strengthen program performance, and support the professional development of all tennis instructors. This SOP outlines the evaluation processes used to assess instructor effectiveness, ensure consistency, and promote ongoing improvement across all Agape Tennis Academy programs.
- Quarterly On-Court Evaluations
Procedure
- Each tennis instructor will receive one on-court evaluation per quarter.
- Supervisors or designated evaluators will observe the instructor actively coaching a class, clinic, or lesson.
- The Coaches Evaluation Form will be used to document performance in key areas such as:
- Player engagement
- Communication and instruction clarity
- Class structure and flow
- Technical and tactical coaching ability
- Professionalism and customer service
- At the conclusion of the observation, supervisors will provide real-time feedback and coaching to support skill development.
- Completed evaluation forms will be stored in the instructor’s performance file for reference and ongoing growth tracking.
- Class Registration Tracking
Procedure
- Class and clinic enrollment numbers will be reviewed regularly to measure instructor impact and demand.
- Trends in registration will be monitored, including:
- High enrollment (indicator of strong instruction and player satisfaction)
- Declining or consistently low enrollment
- If registration concerns arise, supervisors may schedule a check-in with the instructor to discuss strategies for improvement, support needed, or potential program adjustments.
- Team Captain Feedback
Procedure
- During active league seasons, instructors who coach team practices will be evaluated based on team captain feedback.
- Captains may be asked to provide input on:
- Practice structure and effectiveness
- Communication and leadership
- Instructor’s ability to prepare players for match play
- Overall professionalism and reliability
- Feedback is compiled and reviewed by supervisors as part of the instructor’s performance file and evaluation cycle.

- Recognize strong performance and celebrate instructor success
- Identify opportunities for additional training or mentorship
- Ensure consistent program quality across all locations
- Strengthen the overall player experience and program outcomes
Evaluations are intended to be supportive, developmental, and transparent, helping instructors excel in their coaching roles.
- Review Cycle
This SOP will be reviewed annually to ensure it remains aligned with program goals and best practices. Updates will be communicated to all instructors and supervisors.
