Background Checks for Agape Independent Contractors

  1. Purpose

The purpose of this Scope of Work is to outline the background check expectations for independent contractors providing coaching services through Agape Tennis Academy. These checks support the safety requirements of partner schools, facilities, and organizations that mandate verified screening of external service providers.

  1. Scope of Services

This SOW applies to all independent contractors who provide coaching or instructional services for Agape.
Beginning August 4, 2025, all newly contracted coaches must complete a background check prior to delivering services.

  1. Contractor Requirements

3.1 Background Check Requirement

Contractors agree to:

  • Complete a background check through the approved screening provider before providing services at locations requiring verification.
  • Undergo this screening in accordance with school and facility compliance policies.

3.2 New Contractor Compliance (Effective August 4, 2025)

Contractors who begin services on or after this date must:

  • Successfully complete the background check before beginning any coaching assignments.
  • Provide required documentation in a timely manner to avoid delays in onboarding.
  • Acknowledge the requirement during contracting.

3.3 Existing Contractor Compliance

  • Existing contractors will be required to complete a background check following a rollout schedule.
  • Gina Woods will coordinate the compliance timeline and communicate instructions.
  • Contractors must complete the process within the timeframe assigned to remain eligible for coaching assignments at facilities requiring screening.

3.4 Process for Background Checks

Contractors agree to follow the steps below:

  • Gina will initiate the process with the approved background check vendor.
  • Contractors will receive instructions, documentation requests, and submission deadlines.
  • Contractors must submit all information required by the background check provider.
  • Background check status will be tracked for compliance.

3.5 Verification & Service Eligibility

  • Verified results will be securely recorded and used only for compliance purposes.
  • Contractors who do not complete their background check by the required deadline may be temporarily unable to accept assignments at locations that require screening until the process is completed.
  1. Agape Responsibilities

Agape agrees to:

  • Coordinate the background check process through an approved provider.
  • Communicate instructions, deadlines, and requirements clearly to contractors.
  • Maintain secure documentation of results in accordance with privacy standards.
  • Ensure compliance with all school- and facility-mandated screening requirements.
  1. Review & Adjustments

Agape may update or revise this SOW as school, state, or facility requirements evolve. Contractors will be notified of any changes affecting their eligibility to provide services.
